Your registration form has an accessibility question. Some attendees check it and describe exactly what they need. Some check it and leave it vague. Some don't check it and then mention it in passing at welcome reception. You end up with three or four people each year who would benefit from a scooter for the duration, and you don't want to become the person tracking down rental companies and handing out rentals out of a hospitality suite.
We're the off-ramp. Your registration flow can include a link to our reservation page with a pre-filled event code; attendees who need a scooter book directly with us; we deliver to the host hotel to coincide with check-in; attendees ride from their room to your sessions and back; we collect from the bell stand at checkout. You never touch a rental agreement, a delivery window, or a swap-out request. Your show-day runbook stays focused on the show.
How we fit into your registration flow
Three options, depending on how much you want us in the flow:
- Link-only. Your registration form's accessibility section links to our reservation page tagged with your event code. Attendees self-book, we invoice them directly, and you see a reconciliation report after the event. Zero integration work from your team.
- Group rate + attendee billing. We quote you a flat daily rate for your event; your registration page surfaces that rate in your accessibility section; attendees still pay us directly but get the negotiated rate. Useful for conventions and associations where a modest discount materially drives accessibility uptake.
- Sponsor-paid rentals. Your organization picks up the cost for attendees who need a scooter. We invoice you once post-event with a single consolidated bill. Increasingly common for DEI-forward corporate meetings and for medical and patient-advocacy conferences.
Delivery and logistics to your host hotel
Every Kansas City convention and meeting hotel we serve — the Loews, Marriott Downtown, Westin and Sheraton Crown Center, Hilton President, the Plaza-area hotels, the Overland Park Sheraton — already has our bell-stand workflow on file. For attendees staying at the host hotel, scooters stage at the bell stand on arrival and are returned there at checkout. For attendees staying at overflow hotels nearby, we deliver to each individual hotel; there is no per-hotel surcharge, no minimum, and no requirement that every rental be at the same property.
We also work with hotels outside the downtown convention core — Overland Park, Lee's Summit, North KCMO, the Airport corridor — so if your attendee base is dispersed across the metro, that's not a problem.
Show-day and same-day flexibility
Not every accessibility need announces itself on a registration form. We plan inventory to accommodate 5-10% of attendees needing last-minute rentals on arrival day or mid-event. A request to your attendee support desk — "I'm at the welcome reception and I really need a scooter for tomorrow" — gets relayed to us, and we deliver next morning if the schedule allows. You look responsive; we handle the logistics.
